Employee Permissions & Software Security (Tutorials)

This article contains a tutorial demonstrating how to configure employee permissions within Microvellum.

Unless noted below, these permissions apply to both Production and Toolbox.
  1. To access the Employee Permissions, you will need to set up your Employees first. 
    1. To set up your Employees, click “Company Setup > Employees.”

    3. In the box for Employee Data, set up your employees, input their contact information and department as needed.

    5. Repeat this step until you finish entering the information for all your employees in the system.     

  2. The second step is to set up login information for each employee.
    1. Click “Company Setup > Employees (Secure Information)”

      The program displays the “Employee Secure List” box, which is likely blank.

    3. Enter the Master Password – display the list of employees you have previously set up by selecting a user and entering “password”  (without the double quotes) in the Password box. This will populate the grid with the data for the employees you have set up. Until one User is selected as an Administrator with a new password, this generic password will activate the display of all Users entered.
    4. Choose one or more administrators – click the box for Show Passwords and select one of the employees in the Name column. Drop down the list in the Security Level column and select Administrator, double click in the cell for that name in the Password column, and enter the desired password for that User.
    5. You may now use that Administrator account to set up the remaining users.

    7. Show Password, Show Hourly Pay, and Show SSN – check these boxes to display columns in the employee grid for each of those types of data. Modify the desired data by double-clicking in the cell containing the data to modify and entering the data.
    8. Data Grid Columns – this grid will be populated with a record for all the names previously set up at Company Setup > Employees, as explained in step #1 above.
      1. Name column  –  this column is populated with the name of each employee previously entered.
      2. Security Level column  –  set it for each employee by selecting one of the following values: Administrator, Officer, Manager, User, or Agent. Single-click in the “Security Level” cell for an employee, and select the desired level of security in the drop-down box.
      3. Edit Permissions
        1. Set Employee Permissions  –  left-click to select any user other than the Administrator. Right-click and select “Set Employee Permissions” to set the specific program areas any single user may access. This is discussed in more detail in #3 below.  
        2. Copy Employee Permissions   left-click to select any user, then right-click and select “Copy Employee Permissions” to copy the permissions from any employee selected from the list of employees in the Select Item box to the employee selected in the User Grid.
      4. Password  –  enter the password that each employee uses to login.  
      5. Hourly Pay  – enter the dollar amount per hour that each employee is paid.
      6. Social Security Number  – enter the social security number for each employee.
    9. Enable Employee Login – check this box to require the user to enter their credentials (user name & password) when starting Toolbox or Production. With this option checked ON, the user will be unable to access and use the program unless they enter their software login information.
    10. Enable Security Bypass – check the box to prompt the user to enter their user name and password when attempting to access an area of the program for which they do not have permission. This allows an administrator to temporarily override the user’s lack of permission by entering their administrator credentials. Conversely, unchecking this box prevents the program from prompting for the user name and password when a user does not have permission to access that area.
    If the checkbox for “Enable Employee Login” is checked ON as shown in Figure 5, the program startup screen will display a drop-down box for the selection of the User Name and a text box for the Password as shown in Figure 6. This information will be required for the program to start correctly.

  3. The third step is to set the permissions assigned to each employee.
    1. Right-click on an employee and select “Set Employee Permissions” to open the box displaying the various levels of permissions. Click the General tab to grant access to various Microvellum modules.

    Click  here  for a reference to help you decide what permissions to give to which employees. 

    Click the link for “Toggle All” in each section to toggle all the properties in that section, either ON or OFF.
    1. Click the Specification Groups tab to grant access to various sections of the spec group interface.

    Checking any one checkbox allows that particular functionality in the Spec Groups dialog box, as shown in Figure 9 below.

  4. Once the permissions are assigned to a single employee, you may then set up the permissions quickly for other employees in that same group by copying that to any other employee in the same group.
    1. Left-click on an employee to select them, right-click and click Copy Employee Permissions from the context menu.

    3. Click the employee that has previously been set up with the permissions that accurately define the group permissions preferred. Those will be copied to the target employee.

    Once these permissions have been set for all users, the software establishes access to each area of the software according to those permissions.
